HR for clinics and health practices
For private clinics and health practices with 1 to 49 staff. Your extra rules are about who can do the job: registration with their regulator, and criminal record checks for work with children or vulnerable adults. We keep track of both and do the rest of your HR.
- Extra rules we handle
- Professional registration, criminal record checks, harassment by patients
- Health and safety add-on
- From summer 2027
- Who it’s for
- 1 to 49 staff in England, Scotland and Wales
The extra rules in your industry
Each one switches on from what you tell us when you join, and goes into the same contracts, policies and records as the rest of your HR.
-
The rule
Protected titles need registration
What it means for youTitles such as physiotherapist are protected by law. Anyone using one must be on their regulator’s register, such as the one kept by the Health and Care Professions Council (HCPC), and the services must be provided by registered professionals.
What we doWe record each clinician’s registration in your certificates register, checked on the regulator’s register, with a reminder before it expires.
-
The rule
Criminal record checks for regulated roles
What it means for youStaff in regulated roles with children or vulnerable adults need checking against the barred lists of people banned from that work. In England and Wales, that’s an enhanced check from the Disclosure and Barring Service (DBS); in Scotland, membership of the Protecting Vulnerable Groups (PVG) scheme. You can only ask for the level of check the law allows for the role.
What we doWe record which roles need a check and at what level, and write your criminal record check policy under the DBS code of practice, or Disclosure Scotland’s in Scotland. Your HR expert signs off each check, and any decision about a record it shows.
-
The rule
Harassment by patients and clients
What it means for youFrom 30 October 2026, you’re liable when patients or other clients harass your staff over age, disability, gender reassignment, race, religion or belief, sex or sexual orientation, unless you took all reasonable steps to prevent it.
What we doWe write a notice for your premises, website or booking terms telling patients how staff must be treated, and a harassment risk assessment. Staff do the training, and can report harassment in the app, anonymously if they need to.
What we ask when you join
A short form about your business and your staff picks your contracts, policies and the clinic sections. Founding members fill it in during December, and you can type your staff in or upload a spreadsheet.
- Each person’s role, and which roles need professional registration or a criminal record check, at which level.
- Your shift patterns, including nights, weekends and on-call.
- How pay works: salary, hourly or overtime.
- Whether any clinicians are self-employed, since who counts as an employee is a question for your HR expert.
What changes in your documents
- Job descriptions list the checks each role needs.
- Offer letters can be made conditional on references, checks and qualifications.
- Your staff privacy notice names the checks you carry out.
- Your criminal record check policy sets out how certificates are handled.

Questions
What if a check shows a criminal record?
Any decision about it goes to your HR expert first, following the DBS code of practice, or Disclosure Scotland’s code in Scotland. You make the final call.
Do you cover care work?
Not yet. Care homes, home care and childcare have rules we’re still building in, including each nation’s inspectors’ rules on staffing and training. If part of your business is care, book a call first.
Is health and safety covered for clinics?
Yes, as an optional add-on from summer 2027, and clinics are among the first businesses it covers. It includes the policy, risk assessments, a first aid needs check, reminders and records, short staff courses, and a qualified health and safety adviser for anything Mirith, our assistant, can’t answer.
